Students of Ritsumeikan University

A student ID card is required for entering the Library, using facilities and borrowing materials. Part-time students and researchers(such as Post-Master's Research Student/Doctoral Research Student) are also able to use the library with a part-time student or researcher ID card.

Students of APU

Students with an APU student ID can enter the Ritsumeikan University Library, use facilities and borrow materials. However, some materials and facilities are not available to APU students.

Faculty of Ritsumeikan University and APU

1.A Faculty ID card from of one of the following job categories can be used to enter the Library, use facilities and borrow materials.

Full-time faculty ATenured Faculty
Full-time faculty BNinkisei Kyoin, Tokubetsu Keiyaku Kyoin
Full-time faculty CTokubetsu Ninyo Faculty, Extended Tenure Faculty, Shokutaku Lecturer, Tokumei Faculty, Tokubetsu Shohei Kyoin who has a full-time job at Ritsumeikan Univ.
Eminent Research Faculty, Research Faculty
Tokunin Assistant Professor, Joshu
Part-time faculty who fall under any of the categories to the right Visiting Teaching Staff appointed by the visiting faculty regulations of Ritsumeikan University
Tokubetsu Shohei Kyoin who do not have a full-time job at Ritsumeikan Univ. Affiliate Research Faculty, Visiting Research Faculty, Exchange Faculty
Persons who fall under any of the categories to the right will be given the same eligibility as part-time faculty Senior Researchers (including Postdoctoral Fellows)
Researchers

2.Faculty with the following job categories that wish to use the Library will be issued after application.

    For part-time lecturers, please contact a staff member in your college's administration office, Office of Academic Coordination, Office of Academic Affairs at BKC, Office of Academic Affairs at OIC, or the Office of Salary and Welfare. In any case, an application form with a staff member's stamp is required.

    Alumni Members, Parents Association Members, and Members of the General Public

    1.Paid Public Library User
    Ritsumeikan University has a paid system through which the facilities and materials in the library are provided to persons who are 22 years of age or older as of April 2nd of the year of application and wish to engage in study or research using the facilities and academic materials. For those who wish to use the Library at Kinugasa Campus (Kita-ku, Kyoto City) or at Biwako-Kusatsu Campus (Kusatsu City, Shiga Pref.), please click here. For those who wish to use the Library at Osaka Ibaraki Campus (Ibaraki City, Osaka Pref.), please click here.
    2.Exemption of Payment
    For those who have the following eligibility, the registration fee is not required. Persons 22 years of age or older as of April 2nd of the year of application who wish to engage in study or research in an area to which the library possesses related materials are generally permitted.

    Application form The type of application form and applicant may vary depending on eligibility. Please check the guidance on this page.
    • Faculty or researcher of Ritsumeikan University or APU without a faculty ID card・・・Form 7a, Submission of the application with the name of the individual responsible for your administrative office. However, for part-time lecturers at Ritsumeikan University use Form 2 and apply individually.
    • Alumni members, Parents Association members, and Non-university members…Form 2, Apply individually
    • Part-time staff…Form 7b , submission of the application with the name of the individual responsible for your section.
    Identification to verify your name and address Some form of identification to verify your name and address (e.g. driver's license, health insurance card, certificate of residence issued within three months) is required.
    In case the identification does not display your address such as passport, please provide something to verify your address, for example, a public utility receipt. We will not issue a card via proxy.
    Current library card If you already have a library card, please submit the card.
    In the case that a user who already has library card does not submit their card, the user cannot proceed with the procedures for the eligibility extension described on this page.

  • Issuance of Card

    If the validity period has already begun by the time of application On completion of eligibility confirmation, a card will be issued.
    When you apply for the card at 5:00 p.m. or later on weekdays, Saturdays, Sundays, and holidays, please note that we may confirm the eligibility from the following day.
    If the validity period has not begun by the time of applicationExcept for a renewal application, when you apply for a card before the start of the validity period, we will not issue the card on the same day. We will issue the card after the validity period begins.

    When you lose your registered student status at the time of graduation, completion, withdrawal or dismissal, you lose your eligibility to be a library user. When the date of loss is determined, by graduation acceptance announcements or student transfers approved the faculty council, the card will only be valid until that date.
    Even if you go on to a graduate school at Ritsumeikan University, you will temporarily lose your eligibility as a library user at the time of graduation. For students that are reregistered each semester or year such as doctoral research students, post-master's research students, and part-time students, even if the students will be registered for the next period, they will temporarily lose their eligibility as a library user at the end of the validity period. Please return any materials on loan before you lose eligibility.

    Validity Period & Extension of Eligibility for Users with a Faculty ID Card

    When a retirement date is determined, the retirement date will be set as the expiration date of eligibility.
    For fixed-term employment faculty and staff whose employment contract is renewed each year/term, the last day of the year/term will be set as the expiration date of eligibility, even if his/her employment renewal is already determined. To extend the eligibility of lending materials over the end of the period/term, complete the following procedures.

    How to extend eligibility

    Cases where eligibility is automatically extended (e.g. From Tokubetsu Ninyo Professors to Tokubetsu Ninyo Professors) If your employment contract continues to the next year/term with the same job title as the current year/term, the validity period of the library user will be automatically extended in accordance with the official announcements regarding employment decisions. During the period for the procedures to extend eligibility, the acquisition of the latest personnel information is stopped and this processing is regularly performed. In order to extend the return date of the materials you are borrowing, you need to complete separate procedures.
    Cases where an application is required only for when a user wishes to borrow materials over the end of the year/term (e.g. From Tenured Professors to Tokubetsu Ninyo Professors) If your library user eligibility continues through the next year although the current employment contract for eligibility ends at the end of this year, you will lose your current eligibility at the end of the current year/term and a new user eligibility will be given based on your new job title at the beginning of the next year/term. If you need to borrow materials over the end of the current year/term, please apply for a renewal with this application form. In order to extend the return date of the materials you are borrowing, you need to complete separate procedures.
    Cases where the user cannot obtain the eligibility unless they apply (e.g. From Tokubetsu Ninyo Professors to Emeritus Professors) If you lose your library user eligibility as faculty/staff at the end of the year/term and want to use the library with a library card from the next year/term without waiting, you can receive a library card prior to the next year/term if you apply to issue a library card during the renewal period. To apply for a library card, please read this page. If the application procedures are completed, you will be unable to use the library with your faculty ID card and will be required to use the library under the terms and conditions for the newly issued library card.

    Library Card Validity Period and User Eligibility Extension

    Except for professor emeritus, the validity period of a library card is limited to the period that the user is deemed to have eligibility such as their employment period, acceptance period, or commissioned period, and lasts until the end of the relevant academic year. If you wish to extend the validity period, please submit an Application for Library Use (or Library Card Application) for the next year/term during the period to renew eligibility. If you apply for a library card during the period to renew eligibility, you can receive the library card prior to the next year/term. However, in order to extend the return date of materials you are currently borrowing, you need to complete separate procedures.

    Loan Conditions etc. in the Case of an Extension of Eligibility

    Even if eligibility is extended, the return date of materials you are borrowing will not be changed. If you take the necessary procedures for extending the loan period after the renewal of user eligibility is completed, you can borrow materials over the end of year/term. After procedures for renewing user eligibility are completed, loan conditions based on the new user eligibility will be applied. Please note that a decrease in the number of books you can borrow or a shortening of the loan period may occur. In such cases, however, the return date of the materials you are currently borrowing will not be changed.

    If You Lose Your Library Card

    Prevention of Fraudulent Use

    A library card is an important card to identify a user when entering the library and borrowing materials. If you have lost your card, please notify us regardless of the reason. In order to prevent unauthorized use, we will disable the card. The notification form can be downloaded here.

    If Your Lost Card is Found

    If you happen to find your lost library card you have lost, we will be able to use it again. Please come to the library counter with the card you found and a form of identification such as your driver's license or health insurance card.

    Reissuing a Library Card

    The Application for Reissuing Library Card form can be downloaded here. If you wish to reissue a library card, you are required to pay the reissuing fee. Please obtain a stamp for 1,000 yen at the stamp vending machine in the library. Please ask a staff member at the library counter for details.
